Project Evaluation and Reporting

Project teams are required to provide regular reporting throughout the life of their ALT-2040 project to demonstrate measurable, evidence-based outcomes.

Project Evaluation

Project evaluation and reporting are required for all ALT-2040 projects, but they also serve as valuable tools to help you understand what is and isn’t working with your project and which areas may need more attention. Ongoing evaluation can strengthen your project’s design and implementation, support informed decision-making and identify opportunities for the long-term sustainability of your project to ultimately achieve your project’s intended goals.

Reporting

Annual Report

All funded projects are required to submit an annual report for each year the project is active, due July 31 of each year. Annual reports must include a budget summary showing what was spent in relation to budget line items in the proposal.

Completion Report

All funded projects are required to submit a completion report, which includes a comprehensive summary of project outcomes, budget spending and public dissemination upon project completion. Any unspent project funds must be returned to the ALT-2040 Fund. Completion reports are due by July 31 or when feasible upon project conclusion. . 

Project Extension Request

ALT-2040 Funds are awarded with a specific completion timeframe indicated in the award letter (typically two years). If your project will not be completed within the time frame, it is possible to request a one-year extension. Extensions may be granted when key goals or outcomes have not yet been met and are achievable within a reasonable time period using existing project funds.

Accounting

Project leads are responsible for tracking and reporting on expenditures and ensuring that the project stays on budget. Any unspent funds remaining at the completion of the project are to be returned to the ALT-2040 Fund. Lead applicants are responsible for any over-expenditures.

Tracking Expenditures

ALT-2040 Fund accounts are set up as project accounts in Workday. Lead applicants will be provided access to the project worktag as a Program Manager and will be able to track expenditures and view/download ledger reports. ALT-2040 Fund accounts will NOT appear in a research account dashboard.

Project Dissemination 

Project teams are encouraged to share insights and outcomes related to their work. UBC provides a number of opportunities each year to showcase and support teaching and learning innovation. Project teams may choose to participate in annual UBC Okanagan ALT-2040 Poster Showcase and UBC Celebrate Learning Week events, lead a seminar or workshop through the Centre for Teaching and Learning, join a related community of practice or engage in other related opportunities.
